Pixa WMS gives you full control over your warehouse inventory — from the moment a delivery arrives at your dock to the point a picker removes the last unit from a shelf. Every movement is logged, every count is reconciled, and stock levels are pushed to your connected sales channels in real time so your listings always reflect what is physically available.
Receiving Products
When a supplier delivery arrives, record it in Pixa WMS to add the incoming units to your warehouse stock.
- Navigate to Inventory → Receiving and click New Receipt.
- Select or create a Purchase Order to link the receipt to an expected delivery, or choose Ad-Hoc Receipt for unplanned stock arrivals.
- For each incoming product, scan its barcode or enter the SKU manually.
- Enter the received quantity and select the destination location on the shelf.
- Click Confirm Receipt. Stock levels update immediately and propagate to all connected sales channels.
If a delivered quantity differs from the purchase order, Pixa WMS flags the discrepancy and prompts you to accept, reject, or partially accept the line. All discrepancies are logged for supplier reconciliation.
Stock Counts
Run a full or partial stock count at any time without pausing live sales or temporarily removing listings from your channels. Pixa WMS uses a floating count model: orders continue to be processed while the count is in progress, and any picks confirmed during the count are automatically factored into the final reconciliation.
- Go to Inventory → Stock Counts and click New Count.
- Choose a Full Count (all locations) or a Partial Count (select specific zones, aisles, or product categories).
- Assign the count to one or more team members. Each user sees only the locations assigned to them.
- Count staff scan each location barcode, then scan and quantity-confirm each product at that location.
- When all assigned locations are counted, click Submit Count.
- Review the variance report that compares counted quantities against system quantities. Approve or investigate each line before applying the count.
- Click Apply Count to update stock levels. The changes sync to all channels immediately.
Schedule a partial count of your fastest-moving SKUs at least once a week. Frequent small counts catch discrepancies early and are far less disruptive than a single large annual count.
Adjustments
When you identify a discrepancy outside of a formal count — a damaged unit, a mis-pick that was not caught, or a supplier credit — make a manual adjustment directly on the product record.
- Open Inventory → Products and search for the product.
- Click Adjust Stock.
- Select the adjustment type: Increase, Decrease, or Write-Off.
- Enter the quantity and a mandatory reason code (e.g. Damaged, Found, Supplier Error).
- Click Save Adjustment. The new quantity syncs to all channels and the adjustment is recorded in the inventory movement log for audit purposes.
